Secretary, Board

QUALIFICATIONS:

  1. High school diploma or GED required with secretarial training of considerable variety and complexity.
  2. Minimum of five years of experience is required.
  3. Administrative Assistant/Management Assistant experience preferred

FLSA STATUS:
Non-exempt

SUPERVISOR:
Superintendent

DUTIES AND RESPONSIBILITIES:

  1. Prepares agendas for regular and called Board meetings
  2. Attends Board meetings, takes minutes, and keeps official minutes of all meetings
  3. Prepares Regions Room/other rooms for meetings
  4. Performs secretarial duties for the Board members and the Superintendent
  5. Coordinates appointments, calendar, registration, and reservations for the Board and the Superintendent in the absence of a secretary to the Superintendent
  6. Organizes an effective office with attention to administrative detail
  7. Processes communications and correspondence, and distribute mail, faxed documents, and e-mails related to the Tuscaloosa City Board of Education
  8. Prepares memorandums, letters, reports, and other correspondence for the Board members and the Superintendent in the absence of a secretary to the Superintendent
  9. Maintains records related to the Board’s office
  10. Prepares and distributes materials to TEAM and Board members prior to meetings
  11. Coordinates assignments and deadlines with other department secretaries and administrators for the Board
  12. Prepares the Board’s agendas, correspondence, and other communications and assumes the responsibilities in the absence of the Superintendent’s secretary
  13. Serves as the Superintendent’s secretary in the absence of a that secretary
  14. Takes leave time in accordance with Board policy and reports all absences to Sub-Finder in a timely manner
  15. Assumes other reasonable and equitable job-related duties assigned by the immediate supervisor

REQUIRED KNOWLEDGE , SKILLS, AND ABILITIES:

  1. Ability to maintain confidentiality of specified information as required
  2. Ability to conference with visitors in person or on the telephone in a pleasant, courteous manner
  3. Ability to communicate effectively both orally and in writing
  4. Ability to use excellent English, grammar, spelling, and punctuation
  5. Ability to use computer skills required to do spreadsheets, word processing, and record keeping
  6. Ability to establish and maintain effective relationships with others; Team player
  7. Ability to organize materials and maintain accurate records
  8. Demonstrate ability to type 60 words per minute is preferred
  9. Comprehensive knowledge of office procedures, practices, operations, and equipment
  10. Knowledge of school system functions, departments, personnel, and schools necessary for the efficient and effective processing of communications
  11. Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment

TERMS OF EMPLOYMENTt:

The terms of employment shall be in accordance with the provisions of the Board's Policy Manual, Fair Dismissal Act of Alabama and the Board's Salary Schedule - Central Office Administrative Support.

EVALUATION:

Performance evaluation shall be in accordance with the provisions of the Board’s policy on Evaluation of Support Personnel - GCRK and GCRK - R.
