Secretary for Homeless Liaison

Qualifications:

  1. High school diploma or GED required.
  2. Three years secretarial experience preferred

FLSA status:

Non-exempt

Supervisor(s):

Homeless Liaison (Coordinator of Social Work)

Required knowledge, skills and abilities:

  1. Ability to keep business matters confidential.
  2. Ability to be sensitive to needs of homeless families.
  3. Ability to communicate effectively via e-mail and other electronic communications.
  4. Demonstrated ability to type 60 words per minute is preferred.
  5. Proficiency in technology programs such as Word, Excel, Access, Outlook Publisher, Print Shop and Calendar Creator.
  6. Ability to communicate with people in person or on the telephone in a professional courteous manner.
  7. Ability to use excellent Business English, grammar, spelling and punctuation.
  8. Ability to organize materials and maintain accurate records.
  9. Ability to distribute documents in an efficient and effective manner.
  10. Ability to establish and maintain effective relationships with other personnel.
  11. Physical and emotional ability and dexterity to perform and move about as needed in a fast-paced, high-intensive work environment.

Essential functions:

  1. 1. Coordinates appointments and calendar for the Homeless Liaison.
  2. Maintains a current list of homeless children and youth.
  3. Distributes mail and other correspondence in an efficient manner.
  4. Maintains records of outreach activities and services provided to homeless children and youth.
  5. Prepare reports for state and federal monitors.
  6. Knowledgeable of homeless definition according to McKinney-Vento Homeless Assistance Act.
  7. Assist with scheduling activities related to homeless children and youth.
  8. Answers all telephone calls and e-mails and takes messages.
  9. Prepares memorandums, letters and other correspondence for the Homeless Liaison.
  10. Takes leave time in accordance with Board policy and reports absences to SubFinder in a timely manner.
  11. Assumes other reasonable and equitable job-related duties as assigned by the immediate supervisor.

Terms of employment:

The terms of employment shall be in accordance with the provisions of the Board’s Policy Manual, Fair Dismissal Act of Alabama and the Board’s Salary Schedule – Central Office Administrative Support – Grade III for 20 hours. Upon termination or expiration of the grant, this position will no longer exist.

Evaluation:

Performance evaluation shall be in accordance with the provisions of the Board’s policy on Evaluation Support Personnel – GCRK and GCRK-R
