Substitute Finder (SubFinder) Supervisor

Qualifications:

  1. High school diploma or GED
  2. Two (2) years of technical training, advanced education or equivalent job experience in computer and information science.

Required knowledge, skills and abilities:

  1. Must have developed skills in analytical and mathematical reasoning.
  2. Must communicate with administrators, staff and substitutes in a positive and effective manner.
  3. Must have abilities to meet deadlines, coordinate records, and resolve conflict situations.
  4. Must have physical mobility and visual acuity to accomplish the essential functions of the position.

Job Goal:

To ensure that classrooms are staffed with competent substitutes. Furthermore, oversee the daily operation of the CRS - SubFinder System.

Essential functions:

  1. Operates and monitors the SubFinder System efficiently and effectively.
  2. Assist the Director of Personnel in the recruitment of substitutes.
  3. Maintains updates and inputs new data on administrators, teachers, substitutes and schools.
  4. Coordinates with the Alabama State Department of Education regarding the required FBI/ABI background checks.
  5. Monitors all hardware and software to insure proper function level and notifies appropriate contact personnel if problems arise.
  6. Coordinates with the payroll specialist, benefits specialist and local school personnel in the processing of monthly payroll.
  7. Begins the scheduled workday at 5:30am, and is readily available to administrators for routine and emergency situations.
  8. Determines unfilled positions, accepts late substitutes requests and manually assigns substitutes to th0se positions.
  9. Identifies new procedures and techniques to improve the operation of the SubFinder System, previews new equipment and software and recommends new enhancements for implementation.
  10. Maintains communication with principals and supervisors to ensure staffing needs are met.
  11. Assists in new substitute training workshops and coordinates Substitute Camp on a regular basis.
  12. Trains new substitutes in the use of the SubFinder System.
  13. Prepares correspondence, proofreads correspondences, and distributes information as needed.
  14. Maintains confidentiality of all personnel and payroll records.
  15. . Coordinates the certification of substitutes as required by Alabama Law.
  16. Creates advertisements for the recruitment of substitutes within the System.
  17. Monitors all absences for all employees.
  18. Reports and codes all late call-ins by employees.
  19. Implements principal/supervisor request on the absentee report.
  20. Performs other duties as assigned by Supervisor.

Terms of employment:

The terms of employment shall be in accordance with the provisions of the Board's Salary Schedule - Central Office Administrative Support - Grade IV.

Evaluation:

Performance evaluation shall be in accordance with the provisions of the Board’s policy on Evaluation of Support Personnel - GCRK and GCRK - R.
