Secretary, Superintendent
QUALIFICATIONS:
-
High school diploma or GED required with secretarial training of considerable variety and complexity.
- Minimum of five years of experience is required.
- Administrative Assistant/Management Assistant experience preferred

SUPERVISOR:
Superintendent
DUTIES AND RESPONSIBILITIES:
- Performs secretarial duties for the Superintendent
- Coordinates appointments, calendar, and reservations for the Superintendent
- Organizes an effective office with attention to administrative detail
- Processes communications and correspondence, and distribute mail, faxed documents, and e-mails
related to the Office of the Superintendent
- Prepares memorandums, letters, reports, and other correspondence for the Superintendent
- Maintains records related to the Superintendent’s office
- Prepares and distributes materials to TEAM and Board members prior to meetings
- Coordinates and prepares meeting rooms
- Coordinates assignments and deadlines with other department secretaries and administrators for the
Superintendent
- Assists Board’s secretary with the preparation of the Board’s agendas, correspondence, and other
Communications and assumes those responsibilities in the absence of the Board secretary
- Serves as the Board’s secretary in the absence of a Board secretary
- Attends Board meetings, take minutes, and keep official minutes in the absence of Board’s secretary
- Takes leave time in accordance with Board policy and reports all absences to Sub-Finder in a timely
manner
- Assumes other reasonable and equitable job-related duties assigned by the immediate supervisor
REQUIRED KNOWLEDGE , SKILLS, AND ABILITIES:
- Ability to maintain confidentiality of specified information as required
- Ability to conference with visitors in person or on the telephone in a pleasant, courteous manner
- Ability to communicate effectively both orally and in writing
- Ability to use excellent English, grammar, spelling, and punctuation
- Ability to use computer skills required to do spreadsheets, word processing, and record keeping
- Ability to distribute documents in an efficient and effective manner
- Ability to establish and maintain effective relationships with others; Team player
- Ability to organize materials and maintain accurate records
- Demonstrate ability to type 60 words per minute
- Comprehensive knowledge of office procedures, practices, operations, and equipment
- Knowledge of school system functions, departments, personnel, and schools necessary for the
efficient and effective processing of communications
- Physical and emotional ability and dexterity to perform required work and move about
as needed in a fast-paced, high-intensive work environment
TERMS OF EMPLOYMENTt:
The terms of employment shall be in accordance with the provisions of the Board's Policy Manual, Fair Dismissal Act of Alabama and the Board's Salary Schedule - Central Office Administrative Support.
EVALUATION:
Performance evaluation shall be in accordance with the provisions of the Board’s policy on Evaluation of Support Personnel - GCRK and GCRK - R.
